Futureproof Storage: Exploring the market of document management and archive systems
EXECUTIVE SUMMARY
This project represents a collaboration between the Entrepreneurship & Innovation Institute of the Vienna University of Economics and Business and Research Industrial Systems Engineering (RISE), an internationally performing IT service provider, with the aim of enhancing Archive Keeper, RISE’s digital archiving solution. By analyzing customer needs and competitor offerings in both the DACH region (Germany, Austria, Switzerland) and globally, the report provides feature and strategic recommendations to optimize Archive Keeper’s market position and address the evolving demands of the digital archiving sector.
Goal
The goal of this project is to deliver actionable recommendations for optimizing Archive Keeper by identifying key features, addressing gaps and aligning the solution with market needs. Through analyses of traditional on-premise and modern cloud-based solutions, the project explores emerging trends, customer requirements and opportunities to enhance Archive Keeper’s functionality and competitiveness in the digital archiving sector.
Methodology
The project employed a structured approach to evaluate Archive Keeper’s expansion potential. Methods included analyzing the macro environment, specifically the political, economic, technological and legal conditions, using a PETL analysis. In addition, a status quo analysis of the current user interface of the software, a tender analysis to identify sector demands and several interviews with industry experts were conducted. A competitor analysis also analyzed key players in this industry, uncovering strengths and gaps of RISE’s Archive Keeper. Ultimately, a Weighted Scoring Matrix prioritized features based on criteria like market potential, feasibility and customer benefit, which formed a basis for strategic and feature recommendations tailored to industry-specific needs.
Results
Key findings identified healthcare, finance and real estate and construction as sectors with significant demand for secure, compliant and scalable digital archiving solutions. Challenges such as integration with existing IT ecosystems, adherence to stringent compliance requirements like GDPR and the lack of user-friendly interfaces hinder broader adoption. Archive Keeper’s strengths, including compliance with data protection regulations, revision-proof archiving and flexibility in offering cloud-based and on-premise solutions, establish a solid foundation but leave gaps in ERP
system integration, real-time collaboration tools and reliance on role-based access controls.
Insights from interviews and market trends highlight the need for advanced functionalities such as AI-driven metadata tagging, predictive search, hybrid deployment models and intuitive user interfaces. Competitor analyses revealed opportunities in integration, user experience and emerging technologies. Therefore, recommendations focus on improving integration, leveraging AI and optimizing interfaces to establish Archive Keeper as a versatile and competitive solution.
